Terms of Service

These terms govern use of SportConsent, a parental-consent and safeguarding platform operated by SentinelHQ Ltd (“we”, “us”). By accessing the platform on behalf of a sports organisation, you agree to these terms.

1. The service

SportConsent lets an organisation maintain a register of participants, request and record parental consent, organise participants into teams and events, and manage safeguarding information. The platform is provided to the organisation; it is not a public consumer service.

2. Accounts and access

  • Staff accounts are provisioned by an organisation administrator. You are responsible for keeping your sign-in credentials confidential and for activity under your account.
  • Access within an organisation is governed by role (administrator, team manager, safeguarding officer, staff). You must only access data you are authorised to see.
  • You must not attempt to access another organisation's data, circumvent access controls, or use the platform to store data unrelated to its purpose.

3. Your responsibilities as data controller

Your organisation is the data controller for the personal data it holds in SportConsent, and we act as your processor. You are responsible for:

  • Having a lawful basis for the data you enter, and obtaining parental consent where required — the platform provides the consent workflow, but the consent relationship is between your organisation and the parent or guardian.
  • Keeping participant and consent information accurate and up to date, and actioning data-subject requests (access, correction, erasure) that you receive.
  • Reviewing and erasing records for participants who reach 18, in line with data-minimisation.
  • Ensuring only appropriate staff are invited and that access is removed promptly when someone leaves.

4. Acceptable use

You must not use SportConsent unlawfully, upload malicious content, attempt to disrupt or reverse-engineer the service, or use it to send communications unrelated to consent and safeguarding. We may suspend access where use threatens the security or integrity of the platform or other organisations’ data.

5. Availability

We aim to keep the service available and secure but provide it “as is” without warranties of uninterrupted availability. We may carry out maintenance and update features from time to time. We are not liable for loss arising from your failure to meet your own data-protection or safeguarding obligations.

6. Data protection

Our handling of personal data is described in the Privacy Policy, which forms part of these terms. Processing is carried out under a data-processing agreement between your organisation and SentinelHQ Ltd.

7. Termination

An organisation may stop using the service at any time and request deletion of its data. On termination, participant and consent data is deleted in line with the retention and erasure practices set out in the Privacy Policy, subject to any audit records we are required to keep.

8. Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute.
